Help Wanted: Part Time Assistant To Housing Administrator

be.group is seeking an ASSISTANT TO THE HOUSING ADMINISTRATOR for its affordable housing community of Canterbury Village in Santa Clarita, CA.

PLEASE NOTE THIS IS A PART TIME POSITION – 25 hours per week with periodic occasions of more than 5 hours per day.

RESPONSIBILITIES:

The Assistant to the Housing Administrator contributes to the success of be.group by assisting in the management and commitment to the overall quality of operations of an Affordable Housing Community in alignment with be.group’s mission, vision and core beliefs. This includes, but is not limited to:

Administrative Duties
• Performs general office duties including operating computer programs, answering phones, assisting visitors/vendors.
• Assist with accounts receivable and payable, as directed by Housing Administrator/Manager.
• Maintain updated waiting list of applicants.
• Writes monthly community newsletter.
• Maintain resident files.
• Assist in the recertification process.
• Maintain a master calendar of appointments, events, duties, etc.
• Participate in annual budget process.
• Travels to bank, post office, store, etc., as needed.
• Performs management functions in the absence of the Housing Administrator/Manager.

Resident/Family/Client/Guest/Staff Relations
• Plans and implements resident activities.
• Receives and directs concerns and service requests to appropriate team members for follow-up.
• Respond to resident emergency calls and other emergencies; and participate in disaster drills
• Performs daily resident check.
• Maintain confidentiality and ensure resident rights are preserved
• Foster appropriate communication and relations between Resident, Family, Client, Guest, and Staff

Physical Plant Support
• Follow-up on work order requests.
• Reports any unsafe conditions in the community.
• Schedules pest control appointments.
• Schedules service and maintenance for equipment.
• Oversees resident assigned parking.
• Maintain familiarity with all building systems to include all major shut-offs.

Community Relations
• Provides information to individuals seeking housing.
• Serves as contact person to agencies or persons seeking volunteer opportunities or seeking resident volunteers.
• Maintain community bulletin board of events.
• Supports be.group in outside activities and programs, as volunteers and as appropriate
• Provides inter-community support and assistance.
Skills Required:
• BA/BS degree or equivalent combination education, training and related professional experience
• Minimum of two (2) years of professional clerical experience in an office setting
• Proficiency in Windows OS, MS Word, MS Excel, MS Outlook, MS Internet Explorer or equivalent software; MS Publisher and MS PowerPoint as needed. Ability to perform mail merge tasks preferred
• Ability to learn HUD compliance computer program.
• Effective verbal and written communication skills
• Focused attention to detail, highly organized & demonstrated ability to prioritize multiple-tasks, achieve desired results and adapt favorably to changing priorities
• Ability to demonstrate interpersonal skills, self-motivated and willing to help foster a positive working environment
• Maintain appropriate level of confidentiality and privacy
• Interact and collaborate professionally with a diverse range of customers, including older adults and co-workers, individually and as a part of a team
• Problem solving ability
• Ability to perform duties with frequent interruptions.
• Ability to effectively use general office equipment
• Demonstrated ability to follow written and verbal direction in English
• Bilingual skills preferred.
